How to Connect Your Bank & Credit Card Accounts to QuickBooks Online

Here’s how to connect your business bank and credit card accounts to QuickBooks Online (QBO):

Connect a bank or credit card account

  1. Log in to QuickBooks Online.

  2. Go to Transactions in the left menu.

  3. Select Bank transactions.

  4. Click Link account.

  5. Search for your bank or credit card provider.

  6. Select your bank from the list.

  7. Sign in using your online banking username and password.

  8. Follow any verification steps from your bank, such as a text code or security question.

  9. Choose the bank or credit card accounts you want to connect.

  10. For each account, select the matching account in your QuickBooks Chart of Accounts.

For example:

  • Business checking → QuickBooks checking account

  • Business savings → QuickBooks savings account

  • Business credit card → QuickBooks credit card account

  1. Choose how far back you want QuickBooks to download transactions.

  2. Click Connect.

After connecting

Once connected, QuickBooks will download recent transactions. You’ll review them under:

Transactions → Bank transactions

From there, you can:

  • Match transactions to invoices, bills, or payments already entered

  • Categorize expenses and income

  • Add new transactions to your books

  • Create bank rules for recurring transactions

Important tips

Do not connect the same bank account twice. This can create duplicate transactions.

For credit cards, connect the actual credit card account, not just the payment bank account. Credit card purchases should be recorded in the credit card register, while payments to the card should be recorded as transfers or payments.

Before categorizing transactions, make sure your Chart of Accounts is set up correctly. This helps keep your Profit & Loss and Balance Sheet accurate.

If your bank does not appear

You can still upload transactions manually:

  1. Go to Transactions → Bank transactions.

  2. Select Upload transactions.

  3. Download a CSV, QBO, QFX, or OFX file from your bank.

  4. Upload it into QuickBooks.

  5. Map the columns and import the transactions.

After the accounts are connected, reconcile each account monthly using Transactions → Reconcile to confirm QuickBooks matches your bank and credit card statements.

Why It Matters

Connecting your bank and credit card accounts helps you:

  • Save time by reducing manual bookkeeping.

  • Improve accuracy with automatic transaction downloads.

  • Catch missing or duplicate transactions more easily.

  • Keep your financial records current throughout the month.

  • Make bank reconciliations faster and easier.

Bottom line: Connecting your financial accounts to QuickBooks Online is one of the best first steps after setting up your company. It streamlines your bookkeeping and helps you maintain accurate financial records with less effort.
