Reconcile an account in QuickBooks Online
To reconcile books in QuickBooks Online (QBO), you compare your QuickBooks transactions to your bank or credit card statement so the ending balance matches.
Before you start
Have your bank or credit card statement ready. You’ll need:
Statement ending date
Statement ending balance
Any service charges, interest, or fees not yet entered in QBO
Steps to reconcile in QuickBooks Online
Go to Settings ⚙️.
Select Reconcile.
Choose the bank account or credit card account you want to reconcile.
Enter the Ending balance from your statement.
Enter the Ending date from your statement.
Click Start reconciling.
Match transactions
On the reconciliation screen:
Check off each transaction in QBO that appears on your bank statement.
Match deposits, payments, checks, transfers, fees, and interest.
Use filters or sorting to find transactions by date or amount.
Watch the Difference amount at the top.
Your goal is for the Difference to be $0.00.
If the difference is not zero
Common causes include:
A transaction was missed
A transaction was entered twice
The wrong ending balance or statement date was used
A transaction has the wrong date
A transaction has the wrong amount
Bank fees or interest were not recorded
A transaction was previously reconciled and later changed or deleted
Check the statement carefully against QBO until the difference is resolved.
Finish the reconciliation
When the difference is $0.00:
Click Finish now.
Save or view the reconciliation report.
Repeat for each bank, credit card, loan, or other balance sheet account.
Best practice
Reconcile every bank and credit card account monthly, right after the statement closes. This keeps your books accurate and helps catch missing transactions, duplicates, bank errors, and posting mistakes early.
